Personal Identifiable Information Retention Policy for Our Virtual Events


Priority Experiences is committed to maintaining the privacy and security of the personal information of participants in our and our client's virtual events. This policy outlines the procedures for collecting, using, storing, and disposing of personal information (PII) in compliance with relevant legal and regulatory requirements, including the California Consumer Privacy Act (CCPA) and the General Data Protection Regulation (GDPR). This policy is used in addition to our standard website Privacy Policy and applies specifically to events that we host for our clients and for which we collect PII on their behalf.

When hosting virtual events, Priority Experiences may collect PII on behalf of our clients. This information may include:

  • Other event-specific details

The information is collected for the purposes of:

  • Shipping event-related kits
  • Sending event-related messages
  • Requesting reviews to improve our events

Information Storage

The collected information may be stored in secured Google Sheets and/or shared with our shipping and reviews platforms. All data is protected with appropriate security measures to prevent unauthorized access, disclosure, alteration, or destruction.

Priority Experiences does not share any PII with third parties or use it for any marketing purposes. The information is used solely for the purposes outlined above and in accordance with the instructions of our clients. 

Information Retention

Personal information is retained for a reasonable period of time, as recommended by CPRA and GDPR guidelines. The specific retention period is determined based on:

  • The duration of the event
  • The requirements for shipping and follow-up communications
  • Legal and regulatory obligations
  • Client requirements

Client Responsibilities

If clients request the personal information of participants, they must agree to our terms and conditions and accept all responsibilities to maintain the privacy of participants. Once the participant PII is provided to the client upon their request, the client assumes all responsibility and risks associated with maintaining the privacy and security of that information. Clients are required to handle the information in compliance with applicable privacy laws and regulations.

Information Deletion

Upon request by the client, the participant, or after an agreed-upon duration following the event date, Priority Experiences will delete all participant PII from all of our platforms. Requests for deletion can be made by contacting us through the provided contact methods. We will ensure that the information is deleted promptly and securely.

Security Measures

Priority Experiences implements robust security measures to protect personal information, including:

  • Encryption of data during transmission and storage
  • Access controls to restrict access to authorized personnel only
  • Regular security audits and assessments
