Payment Deadlines & Details
Host Deposit:
To secure your event date and host, a deposit is required once the host is booked.
Reservation Note: To ensure availability, the event date and time are held for 7 days pending deposit payment. After this period, the requested time slot is no longer guaranteed until the deposit is paid in full.
Invoice for Kits:
14 days prior to your event, once all shipping information has been finalized, an invoice will be sent for the total kit order and any customization costs. This timing ensures accuracy, as we’ll only invoice based on the confirmed number of attendees.
Customization and Swag:
For events with customized kits or additional swag items, payment for these custom items is required upon confirmation, aligning with your commitment to the order.
Late Fee Policy:
Payments not received within 14 days of the event or on agreed upon due date will incur a late fee of 5% of the outstanding balance, applied one week after the due date. This late fee helps maintain timely payment for smooth event preparation.
Interest on Outstanding Balances:
For any unpaid balances remaining 30 days following the event date (or the date set within your terms), interest will accrue at a rate of 1.5% per month. This interest will be applied to encourage prompt settlement of outstanding balances.
Last minute participants/kits
We understand that last-minute participants may need to join the event, and we'll try our best to accommodate these requests whenever possible. However, due to the urgency, expedited shipping fees will apply.
Expedited Shipping Fees
- 5-9 Days prior to the event: $25-$45
- 3-4 Days prior to the event: $40-$75
- 2 Days prior to the event (overnight shipping): $95-$175
Important Note:
The exact fee will depend on the specific kit and shipping location. We’ll always do our best to provide a shipping solution that meets your needs, but please be aware that expedited shipping options can be limited based on carrier availability (and region). Please note that, shipments outside of the US are not as flexible.
If you need to add participants or ship additional kits at the last minute, please contact us as soon as possible at shipping@prioritywinepass.com (and copy whoever from our team helped you book your event) / and copy any keep stakeholders for the event. That way we can attempt expedited shipping and confirm costs. Please note: we will need your consent and confirmation prior to expediting).
Tip: To avoid these additional fees, we recommend finalizing participant lists at least two weeks before the event whenever possible.
Address changes (after shipping deadline)
If you need to change the delivery address after your package has been shipped, there is a $30 “Address Change” fee. This fee is charged by our shipping carrier, and we are simply passing it on to you.
Important Note: Address changes during transit cannot always be guaranteed, as they depend on the carrier’s policies and capabilities. If you know you need to change the address, please contact us as soon as possible before the package ships!
Custom swag details
If you would like us to source any custom swag we need 5 weeks minimum to have it ready. If you plan to host multiple events we can keep your inventory (so this deadline would not apply).
If you plan to ship your existing swag to us, it needs to arrive at our headquarters before the shipping deadline (2 weeks prior to your event date).
Incorrect Address Provided by Client
If a package is returned to us due to an incorrect address provided at the time of order, additional fees will apply for reshipping the package. This includes incomplete addresses that may be missing an apartment number, suite number zip code or any other important info needed by the shipping carrier.
Return & Reshipping Fees Include:
- Return shipping fees: Varies based on the return reason and carrier charges.
- Reshipping fee: Same cost as the original shipping fee.
To avoid these fees, we highly recommend verifying the address before submitting your order. If you're unsure, please don't hesitate to contact us, and we’ll be happy to double-check the details.
Tip: Double-check suite or apartment numbers, zip codes, and street names for accuracy.
Delivery Issues & Damaged Kits
We take great care in packaging each kit to ensure it arrives in perfect condition. However, once the package leaves our hands, it’s in the care of the shipping carrier.
Damaged or Lost Shipments:
We’re here to help! If a package is damaged or lost during transit, we’ll work with the carrier to file a claim on your behalf. Please note that the claim process can take 2-4 weeks, depending on the carrier’s policies and may require 7 images or more of the kit.
- If the package was insured (optional, 3% of shipment value), we will reship your order at no additional cost once the claim is approved.
- If the package was not insured, the client is responsible for the cost of reshipping the kit.
Important: For certain items (e.g., wine, chocolate, cheese), extreme weather conditions can cause damage that may not be covered by the carrier. If you are shipping temperature-sensitive items, consider expedited shipping options for added protection.
How to Report a Damaged Shipment:If you receive a damaged shipment, please contact us within 24 hours with photos of the package and contents, as well as a description of the damage. We’ll guide you through the next steps.
Change event date
We understand that sometimes plans change, and we're happy to accommodate event date changes whenever possible.
Change Policy:
- More than 2 weeks before the event:
There is no change fee if the event date is changed more than 2 weeks before the scheduled date. We will work with you to find a new date that fits your schedule. - Within 2 weeks of the event:
If the event date is changed within 2 weeks of the scheduled event, the hosting fee will be forfeited. This is due to the resources and preparation already allocated to your event. We’ll still do our best to reschedule, but please note the forfeiture of this fee.
Important Note:
The sooner you let us know about a date change, the more flexibility we’ll have in rescheduling your event. If you need to change your event date, please contact us at hello@priorityexperiences.com as soon as possible.

Collect Shipping Details

Send The details to us
Submit your recipient details at least 14 days before your event to avoid rush shipping charges, and ensure all address information (i.e. apartment/suite number), is accurate to prevent reshipping fees. Please let us know if we can contact recipients directly if shipping errors occur.

Confirm Kits & Experience
Send us your logo preferably in a vector format ASAP. Confirm what items you’d like us to ship or items you’d like us to include in the kits. Custom swag needs a minimum 3 weeks from ship date. Remember if we don’t get your note or logo on time, kits will be sent without them.

6-8 Weeks
Define objectives & format
At this point, the goals, objectives, and desired outcomes of the event should already be clearly defined. If not, make sure you and your team are discussing this as soon as possible. This information will be helpful to share with your host so that they can help you.
Insure your event kits
We understand that things don't always go as planned, which is why we offer optional insurance for just 3% of your total kit cost. This coverage gives you peace of mind by protecting your order from unexpected issues such as:
- Loss or damage during transit (including breakage and heat exposure)
- Delivery to incorrect addresses
- Other unforeseen circumstances
By opting in for this insurance, you can rest easy knowing your order is covered from the moment it leaves our hands until it arrives at your door. Simply select the insurance option at checkout, and we've got you covered!
Confirm experience, host, & date
The experience, host, and date should have been selected and finalized. Ensure the availability of any additional speakers or facilitators to avoid any scheduling constraints addressed.

- Discuss any branded items to be included.
- Standard items include, custom logo’d sticker for the boxes. A simple message to include inside the kits.

Create a sign up page
Let us know if you'd like help setting up a registration page or sign up form for you event. To do that, we'll need the following from you.
- Logo: Preferably in vector format
- Headline: Typically the name of the event
- Sub Header: The main call to action
- Event Description: What people attending the event should expect

Create engagement plan
- Get the sales team on board with incentives
- Check and validate registrants to ensure they are good prospects
- Send out reminders to attendees
- Consider including a raffle and promote it in emails
- Have a strong run of show and a good guest speaker
- Make the event interactive with polls or other activities, like dry erase photo props
- Include a clear call to action
- Have the sales team follow up with emails to both attendees and non-attendees
What we've seen implementing this in our own events:
- 65-75% of registrants typically show up
- 25% of those who don’t attend still tend to do business
Promote & open registration
- Start communicating the event date and time and consider sending a save the date request.
- Open early registration and begin collecting attendee information.
- Promote the event via email, social media, or direct outreach.

3-6 Weeks
Send us your note & logo
- Please send us your custom message and logo (preferably in vector format) as soon as possible.
- Confirm the items you'd like included in the kits, and note that custom swag requires a minimum of 3 weeks from the shipping date.
- You can also specify if you’d like your logo placed on the inside of the box, outside, or both.
- If we don’t receive your note or logo on time, the kits will be sent without them.
Note: We do not include recipes in the kit, as they are sent to clients to share with recipients as a follow-up after the event. If you'd prefer the recipes included in the kit, please let us know.

Finalize kits
- Confirm the contents of the event kits, including branded items, add-ons, and any special instructions.
- Approve final kit designs and customizations.
Send us recipient details
- Collect and share recipient addresses with Priority Experiences.
- Vet registrants with your internal team or stakeholders.
- Double-check for address accuracy to avoid shipping issues and additional fees.

2 Weeks
Last call for shipping details
Make sure you get your addresses over to our team so that we can ship the kits out. If you need to send any kits after this date, please reference our event resource section for additional fees you may incur.
Pay your invoice
Pay your invoice to avoid late fees. See event resources for more details.
Continue promoting the event
- Keep the event top of mind with people who have subscribed.
- Reach out directly to registrants, by email, phone, or LinkedIn and confirm if they'll be able to make it or not.

Priority Experiences begins shipping
- This is when we begin shipping the kits to recipients.
- Once they're sent we'll send tracking emails directly to the participants.
- Make sure you're available in case any issues with the shipping addresses or unexpected delays occur.
Schedule a test run
- Schedule a test run with the host and speakers to review the agenda.
- Practice transitions.
- Review talking points, event flow, and the engagement plan.
- Review event goals with the host.
1 Week
Check ups on tracking & shipments
- Verify the status of kit deliveries and share tracking information with attendees.
- Address any last-minute shipping issues and expedite where necessary.
Last minute registrants
- For late registrants, ship expedited kits and provide tracking information to attendees.
- Notify Priority Experiences of any last-minute address changes or additions.

- Run a tech check to ensure your camera, mic, connections, and platform settings are configured correctly.

- Test interactive elements such as polls, breakout rooms, and presentations.

Day of event
Final tech check
- Meeting Link: Have the meeting link ready and easily accessible.
- Software Updates: Update your platform and any related software ahead of time.
- Close Other Programs: Shut down unnecessary apps to avoid distractions and improve performance.
- Equipment Test: Test headphones, mic, and camera. Ensure lighting is good with the primary light source in front of you.
- Mute notifications: Turn off notifications on your phone and/or your computer.
- Backup Materials: Keep a hard copy and backup of your presentation on hand. Share materials with any co-host as a plan B.
- Backup Plan: Have a phone or plan B ready in case of power outages or connectivity loss.
- Backup Host: Assign a co-host to handle tasks like muting, managing chats, removing disruptive attendees, and being available if any issues arise.
- Settings Review: Review platform settings, including waiting room images, default options, and analytics.
- AI Policy: Confirm your policy on AI notetakers (allowed or not).
Join early
- Team members, hosts, and speakers should join 60-30 minutes early for final setup.
- Grab a glass of water and have any supplies ready on hand.
Nail your event!

- Start the event and follow the run-of-show. Engage attendees, facilitate interactions, and address any questions or issues as they arise.
- Pause for questions
- Ensure smooth transitions between segments and keep track of time.
1 Week
Follow ups
- Send a thank-you email to attendees with links to any recordings, shared resources, or follow-up materials.
- Include a feedback survey to gather insights for future events.
Analyze results
- Review event metrics (attendance rates, engagement levels, feedback) and assess success against defined goals.
- Hold a debrief with the team to identify learnings and potential areas of improvement.
